The Executive Assistant (EA) at JAWA provides high-level administrative support to the CEO, ensuring efficient daily operations and seamless communication across the organization. The dynamic nature of this role requires the ideal candidate to have exemplary time management skills to coordinate schedules, organize and conduct meetings, and prepare materials that enhance organizational efficiency and strategic planning. Acting as a liaison to the Board of Directors, the Executive Assistant must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Leadership Team, staff and key stakeholders.

Salary: $70,000 - $100,000

Impact

The Executive Assistant supports the CEO by connecting organizational needs, tracking projects and providing critical business information to the CEO, ensuring meetings and materials are efficient, well researched, effective and accurate. The role requires exceptional communication, organizational, and project management skills. The ideal candidate brings professionalism, a proactive approach to prioritizing tasks, and a passion for contributing to Junior Achievement’s mission of empowering young people in a collaborative and dynamic environment.

Primary Responsibilities:

Executive Support:
- Manage the CEO’s schedule, including meetings, travel, and communication priorities
- Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with limited guidance
- Conduct research and analysis of interest to the CEO, prepare agendas, materials, and presentations for meetings and events
- Handle confidential correspondence and prioritize urgent matters effectively
- Administrative and Operational Coordination
- Communicate directly, on behalf of the CEO, with board members, Senior Leadership Team, staff, donors and community partners, on matters related to executive programmatic initiatives
- Support the execution of organizational projects by tracking deliverables and timelines.
- Process sensitive and confidential financial, legal and institutional information while exercising professionalism and discretion.

Board Relations:
- Coordinate logistics for Board meetings, including agenda preparation and meeting materials.
- Act as the primary point of contact for Board members regarding communications, scheduling, board orientation and onboarding

Strategic Collaboration:
- Assist with research and data collection to support decision-making
- Coordinate cross-functional communication between departments and external stakeholders
- Maintain annual and long-term strategic plan documentation with accurate tracking

Qualifications (required)

- Experience: Minimum of 3-5 years in an administrative or executive assistant role; nonprofit experience is a plus.
- Skills: Proficiency in Microsoft Office, project management tools, CRM systems (such as BoardEffect), and MS Teams and Zoom for conference meeting management.
- Strong organizational, written, and verbal communication skills.
- Attributes: Joyful, positive, patient, composed and approachable with strength for independent detail-oriented work. Demonstrated resourceful thoughtful approach to problem solving and able to handle sensitive information with discretion. Must project a confident, optimistic, collaborative professional demeanor, with a genuine desire to maintain a fun working environment. Must have a strong intuitive sense anticipating future needs and act proactively.
